This document will explain how to set up Calibration Frequencies and what all the settings mean.

Most List items in ProCalV5 are specific to each Company. Calibration Frequencies are a ‘Global’ List item, meaning that all Companies will have access.

Adding/Modifying Frequencies

To Add or Modify an existing Frequency select Lists – Calibration Frequency



Frequency Name – Once a Frequency Name is entered and saved it cannot not be changed.

Display Name – The Display Name can be modified and can have a different Display Name for each Locale. If a Display Name is left blank at the creation of the Frequency it will default to the Frequency Name.

Note – When setting up your Frequencies, keep in mind that ProCalV5 sorts Numerically/Alphabetically. 

Locales – As mentioned above, can have their own Display Name.

Note - Display Names and Locales are for versions with Multi-Language, 5.8.0.1 and above.

Define the Timeframe – The next two fields work together to define the timeframe. The ‘Every’ field is an Integer field that will accept whole numbers. The field to the right is a dropdown, see below.

Keep on End of Week/Month – Depending on your selection, you will have the opportunity to Roll the Date to the End of the Week, (only for “Weeks” selection) or on the End of the Month. (for “Months” and “Years”)

 

How Early to Allow a Date to Roll – Next we define when we want to allow the system to roll the Date forward. In the example below, if the Calibration is performed within 60 Days of its Scheduled Date, the system will Roll the Date forward. If the Calibration is performed 61 Days before it is due the system will not Roll the Date. If the “Calendar Month of Scheduled Event Date” is checked, then the Date will Roll if performed in the Month that it is due.




Note – For Calibrations, the Calibration must Pass in order to Roll the Date. For Maintenance events that do not use Calibration specs, the Date will Roll regardless of the outcome.

 

Allow Date to Roll Early – (Available on Versions 5.8.0.1 and above) On the Company screen, Options tab there is an option to allow the date to roll early that will override the settings above. So with the example above (with the 60 days) and the Calibration is 61 days before it is due, the user will not have the ability to Roll the Dates. The Company setting, if checked, will override this.


Keep On Schedule – (Available on Versions 5.8.0.1 and above) Every record that can have a Frequency associated will also have a checkbox “Keep On Schedule”. Example – a Master Record has a Frequency set up as 1 Week. Last week the Calibration was performed on a Wednesday and this week it is performed on a Tuesday.

With ‘Keep On Schedule’ checked the Record will be due next week on Wednesday.

With ‘Keep On Schedule’ unchecked the Record will be due next week on Tuesday.
